Learn International Policies and Procedures

Admissions Policy

Requirements and Eligibility

Participants are accepted based on a variety of factors agreed upon by Learn International and its partners.

Typical requirements include:

  • A complete application
  • GPA and good academic standing
  • Reference or Recommendation check from employers, professors, etc.
  • Ability to finance a Study Abroad program

Each program has it’s own requirements, so please visit each program page for requirements:

Please note: Some programs, like Internships and Service Learning, do not require participants to be actively enrolled in a university and can be taken without credit.

If a potential participant does not meet one or more program requirements, please contact Learn International to discuss this matter. Participants may be accepted on a conditional basis, with the understanding that an applicant meets all the requirements prior to the program start date.

Application Process

Each Learn International Program has it’s own set of requirements, however follow these steps to apply:

  1. All program applications are found in VIA-TRM, our online application system. All applicants must create a log-in, profile and select their program of interest. Visit here to begin your application: https://learninternational.ie/resources/how-to-apply/
  2. Once an application is complete, a Learn International Coordinator will be in touch with you.
  3. Participants should meet with their Study Abroad Advisor on campus to discuss their program, financial aid, and credit transfer.

Application Requirements by Program

Every participant, regardless of demographic, financial, and academic standing, will go through the same process for application and acceptance procedures. All requirements are listed within VIA-TRM, our online application portal or on our website under each program listing.

Application Deadlines

Application deadlines are specific to each program. Please visit the relevant programs page for specific deadlines, they are located in the Quick Facts section of each page.

In certain circumstances, application deadlines may be extended if a participant needs additional time to apply. To discuss this option, please contact us.

Additionally, our deadlines are not related to visa timelines.  Therefore, participants requiring a visa must research the requirements for such and be sure they have sufficient time to receive their visa after applying.

Incomplete Applications

Incomplete applications will not be reviewed until all requested documents and payments are submitted. If a participant cannot submit a complete application by the application deadline, please contact Learn International.

Incomplete applications that are outstanding after the application deadline will be examined on a case-by-case basis.

Once the application is submitted, there are no refunds for application fees if a participant decides to withdraw their application at any time.

Late Applicants

Late applications may be accepted based on program type and availability. Participants should contact Learn International to confirm whether late applications are still accepted for their program choice.

Acceptances

Service Learning, Internships​ and Dublin City University Summer School

After a completed application is received in VIA-TRM, a Learn iNTernational Coordinator will be in touch about acceptance. Typically, it takes 2-3 weeks to be accepted, based on the review committee’s schedule.

Customized Programs​

For Customized Programs (Faculty-Led options), Learn International will work with the institution offering the program on acceptance procedures. Typically, the institution will accept participants internally and inform Learn International of all accepted parties thereafter. Acceptance procedures and timelines vary from institution to institution, so it is up to the applicant to understand these policies and procedures. Learn International is not responsible for communications between the providing institution and the participant.

Post-Acceptance

After participants have been accepted, additional paperwork is required.  Each program varies in these post-acceptance materials, so each student will be contacted separately about this.

Academics

Attendance

All Learn International programs require 100% attendance. Since we offer short-term programs, participant participation is mandatory. If a participant needs to miss a class, they should get prior approval from their professor or placement supervisor in writing and inform Learn International.

Assessment

At the end of every Learn International abroad experience, participants will be asked to complete an assessment of their academic, cultural and overall program satisfaction. This assessment will be used to further enhance educational goals and outcomes.  Learn International aims to better it’s programming to best meet the needs of its participants and international higher education. This assessment may be used for statistical analysis and marketing.

Payment Policies and Procedures

Invoicing Policy

Invoices sent directly to participants

Invoices are sent to both participants and the emergency contact as listed in the participant application via email. Participants are responsible for all payments, regardless of who is physically paying (parent, guardian, etc.) for the program. Please note, all invoices are made in Euro and not subject to currency exchange fluctuations.

Each invoice payment is due within 30 days of the issue date of the invoice, unless otherwise stated or agreed upon in writing.

Any invoices left unpaid by the deadline on invoice, may be sent to collections for payment. Any fees Learn International accrues for having to chase up payment, will be billed to the participant.

Invoices sent to institutions for participants

When Learn International bills an institution or university for participant program fees, the institution is responsible for collecting student payment and paying Learn International as per terms on the invoice.

Please note, all invoices are made in Euro and not subject to currency exchange fluctuations.

Each invoice payment is due within 30 days of the issue date of the invoice, unless otherwise stated or agreed upon in writing.

Any invoices left unpaid by the deadline on invoice may be sent to collections for payment. Any fees Learn International accrues for having to chase up payment will be billed to the participant.

Acceptable payment methods

We accept two types of payment:

  • International wire transfers – The payee (institution or participant) is responsible for all related fees for the transfer, please note these fees are in addition to the program fees.
  • Online payment system located here “Payments” on our website. There is a 3.0% payment processing fee for credit/debit card payment added to the total payment.

Participants should check with their home banking institution to for costings on  international wire transfer, as it may be less expensive to pay larger fees with a wire transfer versus our online payment system.  Please contact us for questions related to payment at any time.

Fees

Customized programs

Unless a participant is told otherwise, the institution hosting the customized program will be invoiced by Learn International for all participants. From there, participants work directly with this institution for program payments and schedules.

Learn International Internship programs may be billed to a participant’s university or directly to the participant; an agreement will be discussed prior to billing.

Accommodation Policy

All participants are to abide by the Learn International Accommodation Policy which discusses: Changes in Accommodation, Cancellation Policies, Special Requests, Utility Charges, Damage/Security Deposits, Liability, Behavior and Conduct, Arrival and Departure Procedures, Substance Use, Safety and Security. Participants will receive this policy prior to arrival for review.

Health Insurance Fees

All participants are mandated to have CISI insurance, and this cost will be added to your program fee invoice. Please see our Health Insurance section for more information.

Late Fees

If a participant has not discussed or made an agreement with Learn International for delayed payments, a charge of €75 per week will be added to the participant’s invoice.

Financial Aid Delayed Payment Request

Participants who will be using financial aid for a Learn International program, may request to delay program payments until financial aid disbursed. Please complete the form within VIA-TRM if you are requested this delayed payment request.

If the request is approved, payment must be made as soon as financial aid is disbursed.

If the participant is already active on-site with a Learn International program and has not paid their program fees, he/she may be asked to leave the program at any time.

Cancellation and Refund Policy

Learn International Cancels a Program

Learn International has the right to cancel any program if it deems necessary based on circumstances out of our control such as natural disasters, health and safety, or lack of participant enrollment.

If Learn International cancels a program, students will be given the option to attend another Learn International program within the next year from the date of cancellation or a refund will be given for everything but the €95 application fee.

Participant Cancellations

If a participant cancels or withdraws from a program, they must submit a Cancellation Form and inform Learn International in writing in VIA-TRM. The date this form is received by Learn International, is when the refund policy is activated.

Refunds

If a participant cancels or withdraws at any time:

  • €95 Application fee is non-refundable
  • Participant Commitment fee is non-refundable
  • See table below for Program Fee refunds

Since all payments are due no later than 60 days to the start of a program, the following schedule will be the allowable refund amounts given for program fees:

Please note: After the program has begun, there will be no refunds given on any program under any circumstances.

You will receive a decision on your refund within two weeks of submission of request. If you do not hear from a representative at Learn International, please contact us to follow up. Processing of refunds can take a minimum of 8 weeks, but may be considerably longer.

Refunds attract an administrative fee of €50 per transaction. Any costs associated with the fund transfer will be deducted from the amount refunded. Approved refunds will be transferred to the originating accounts only.
